Title: Monthly Report of Library Activities

I. PURPOSE AND SCOPE
To establish a report detailing the use of the libraries
in the Brevard County Library System.
II. DEFINITIONS AND REFERENCES
A. Monthly statistical report - Current form used
by each library to record their statistics each month.
B. ILS - Integrated Library System including cataloging,
circulation and on-line catalog.
III. STATISTICAL COUNT
A. CIRCULATION - The total lending, including renewals,
of any library materials directly charged out to borrowers.
1. Total check-outs is determined by ILS generated
reports each month.
2. Percent of gain or loss is determined by dividing
the difference between total monthly circulation for
previous year and total monthly circulation for current
year by total monthly circulation for previous year.
3. Total check-ins is determined by ILS generated
reports each month.
B. PATRON ATTENDANCE - the number of patrons entering
and leaving the library as determined by the count
taken each day by the people counter.
C. INVENTORY - The physical units of library material
as determined by adding donations and purchases then
subtracting withdrawals from previous month's inventory
total.
1. Books - Physical units of any printed, typewritten,
handwritten, or processed work, portfolio, hardbound
or paperbound.
2. Current Periodicals - The number of individual
titles of periodicals and newspapers, purchased or
received as gift subscriptions. Do not report number
of individual issues. Titles received only in microfilm
or microfiche are to be reported under microforms.
3. Microforms - The number of individual titles of
materials that have been photographically reduced
in size for storage, protection and inexpensive publication
purposes, and which must be read with the help of
enlarging instruments. Examples are: microfilm, microcards,
and microfiche. Number of reels of film or pieces
of microfiche should not be reported.
4. Videos/DVDs - Materials in any format which are
produced for viewing via television. Materials should
be counted by titles, not by individual discs or tapes,
within a album.
5. Sound Recordings - Materials in any format which
are produced for listening, compact discs, cassette
tapes. Sound recordings should be counted by titles,
not by individual discs or tapes within an album.
6. Other AV - All other audio-visual library materials,
computer software, filmstrips, slide sets, overhead
transparency sets, mixed media, (multimedia) kits,
flat pictures, study print/sets, maps, charts, games,
art reproductions, etc.
D. REGISTRATION - The process of entitling a user
to borrow materials for use outside the library, characteristically
by issuing a borrower's card.
A Computerized Report of Statistics generated by
the Library Automation System for total borrowers
is to be used for the count. A count of non-resident
borrowers and reciprocal borrowers will be kept.
E. REFERENCE
1. Reference Transactions - Any requests for information
from patron, which requires the use of library materials
or the professional judgement of the librarian to
answer the question. A separate count must be recorded
for adult reference and youth services reference transactions.
2. Fax - Materials sent in answer to patron request
via telefascimile machine.
3. Informal Electronic Instruction - A count of the
number of requests for instruction involving the use
of information technology, resources, or equipment.
4. Personal Computers Usage - A report of the number
of times personal computers are used during the month
by the public.
F. INTRALIBRARY LOANS - Materials sent in answer to
specific title, author, or subject requests made between
libraries within Brevard County Library System. Count
reserves placed by each department in the library.
The Pick List is a daily computer-generated list of
those items requested for intralibrary loan.
G. INTERLIBRARY LOANS - Materials sent in answer
to specific title, author, or subject requests made
between libraries that are outside the Brevard County
Library System, include Brevard Community College
and Florida Institute of Technology in this count.
1. Count titles requested from other libraries.
2. Count titles loaned to other libraries.
H. FINES & FEES - revenue received from fines
and fees which is collected by library and deposited
in individual Library's account.
I. VOLUNTEER HOURS - A report of the number of people
and the hours which they worked voluntarily in each
department of the library during the month, includes
the Alternative Sentencing people.
J. MEETING ROOM/STUDY ROOM USE - A report of the
number of hours as well as the number of times that
library meeting rooms are reserved.
K. PROGRAMS - Programs in which library staff actively
participates in the planning and conducting.
1. Total number of library-sponsored programs both
in-house and outreach, include attendance for both
types of programs.
2. Adult and youth services programs must be recorded
separately.
L. EDUCATIONAL GROUP TOURS
1. Count and record the number of educational tours
given by library staff to formal groups of students.
The tour must include instruction in the use of library
materials appropriate to the age of the group and/or
a special program planned just for the group.
2. Record the number of tours by which department
performs them - Reference or Youth Services. Include
attendance for both types of tours.
IV. RESERVATION OF AUTHORITY
The authority to issue or revise this procedure
is reserved to the Library Services Department Director.
